12/5/23: Barbara, Cindy and Tina met with the team to discuss writing needs. Heather and Amanda will review last year's script and provide any necessary feedback (this worked great, this did not) to Barbara.

Heather added that the script did have a nice balance for each honoree. This year their bios were limited to 250 words each. 

Speakers are being determined. Tina added that we need as much detail as possible including suggested stage directions to be added to the script.

Program: Tina requested that the writing team be allowed to tweak the bios for consistency. Amanda welcomed that. She is starting to rethink the program and will come back with recommendations on perhaps going to a more simplistic program (front and back) and use QR Codes to direct attendees to the website to read more details about each honoree. More to be discussed at the next meeting.

Event experience: The team is looking at a more immersive experience for the honorees including campus experiences, welcome receptions, networking breakfast, a possible 3C takeover for honorees to engage with students, a lunch and learn and a possible service project.  This change is to engage honorees and help develop a better experience that will lead to a pipeline for gifts and volunteers in the future.  More details to come at the next meeting.

1/19/24: Amanda has requested that the team look into a possible "flip book" option for the program.  If possible, they would like to have a "run of show" on a card that includes a QR code. This piece would sit on the plate charger. The QR Code would take them to the online "Issuu" piece as a new "experience" that honorees would take part in during the dinner.

Tina shared that  Higher Logic does not have the capabilities to do a flip book. The Issuu option does have some limitations as we can't link to any specific page.That is not a concern since they just want to link to the whole thing. Issuu does come with a subscription, that will be their decision on that. The SCME team will still have to lay it out and design/edit it as a print project to get the PDF to upload to Issuu. Only benefit is that it saves AR department money with the printing. The mobile experience is okay, not sure it's what we would call the "WoW" factor but the piece can be view on mobile. BUT... there is a chance that class members might ask where they can get a copy of that. 
So as a recap you are requesting the program include the following:
•    Elevated design elements
•    Smaller program size with an increased number of pages to accommodate 1 bio/photo of each honoree per page.
•    Run of show will be a separate card (new project—please submit with those details) with QR code to Issuu option.... OR... if printed, included in the program instead. Waiting to hear what they decide.

2/13/24: Rob is making great progress on the program. We are still waiting on the final ROS. Amanda indicated the speakers will be finalized by the end of February. She is also deciding on a couple of program options for engagement at the back of the program. Scripting is in progress. Matt has had a conversation with Amanda on flow and logistics. She is okay with moving the script deadline to March 11 if needed.

2/21/24: Barbara has completed her portion of the script and has handed things off to  Matt for completion of the script. Rob continues to refine the program and is waiting for direction from Amanda on the accolade pages.

2/27/24: Matt reached out to Amanda on Thursday, Feb. 22 reminding her about needing some additional information for the script. Amanda responded on Friday with some of the information. This is still tracking to the March 8 due date. We are still waiting on program information regarding the accolade pages and direction from Amanda.

2/27/24: Feedback for program is as follows from email:
o    I’d like to extend this deadline to March 11 which I believe is the same deadline for the script.

o    This would give our team a little more time to work through ideas for the accolade pages. Tentatively, we’ve got the following we’d like to incorporate :
    - A congrats letter (we’ll draft) from either Barbie or Heather 
    - Instead of the #1 Wall St Journal page, I’d like to incorporate an image like the  “Road to Success goes through Gainesville” page in the Gator100 program but with the ‘From Swamp to Success” theme OR some high res images of past 40/40 experiences. 
    - UF Alumni Fast Facts data
    - We’ve gotten back a good number of the honoree Q&As so I’d like to incorporate some responses into an “Honorees in their own words” for a few pages.

3/7:  Amanda has provided copy for the program's interstitial pages--Honoree quotes for the honorees in their own words. Amanda still owes the team the Run of Show for the program.

3/8/24: Program and script have been sent to Amanda for feedback.

3/15/24: Amanda sent over small edits to the program and plans on having the ROS by Tuesday. The Clubs/Groups page still needs to be worked on. Rob made updates and sent them back to her for review.

3/19/24:  Tina followed up with Amanda on any feedback on the script. Reminded her about the Friday, March 22 deadline for SCME.

3/19/24:  Heather has approved the script and said they would take it from here. Tina sent a final checklist to Amanda that included needing the ROS and any other changes. It was communicated that the program needs to go to the printer on Friday.

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
