Project Description
To provide a year-long donor experience for donors making their first gift to UF, Donor Relations and Creative Services partnered in 2018 to develop a first-time donor postcard as one of three touches to this group. The postcard design was tweaked in 2023 to remove Go Greater branding elements as a temporary measure. Donor Relations, in collaboration with Annual Giving, plans to implement enhancements to this first-time donor program based on benchmarking with other universities. Additionally, our vendor supply of postcards is getting low, so we'd like to implement changes soon so that we don't have to reorder the old design. Proposed enhancements include updating the postcard design and language, adding a segment/version for recent alumni donors (first gift as an alum), and updating the video that is sent via ThankView at the 11 month anniversary (hasn't been updated since 2018).

1/11/24: the team met to discuss the project of the new donor postcard, postcard for recent grads and thank you view video. The program will have two touchpoints. The postcard after one month of giving and a video in month 11 reminding them of their gift, with the hope that they will give again. Rachel shared two concepts that the team discussed and felt that the two different concepts would work for each audience (alums and recent grads within 10 years). Rachel will work on the language for the postcards. We reviewed the video that was created several years ago and possible changes that could be made to it. One suggestion was carrying the "firsts" theme through and shortening it. We also discussed making sure, AI, Space and the Student Experience is being included. The audience for the video will be broad so covering many areas across campus is important. The discussion of shortening the video was discussed as well. Rachel did mention the possibility of Planned Giving wanting to use a variation of the video for a future Legacy Society project.

1/11/24: Tina and Dave spoke with Rachel and Megan about the video project and they agreed to push back the video deadline to mid-March due to Giving Day.

1/22/24: Tina followed up with Rachel as she was providing copy for the first-time donor postcard and timeline piece for the rest of the audience. Concept deck is due 1/29. Asked if we should push it back or use this email chain to keep the project moving.

1/22/24: UPDATE: Rachel said we could scrap the "concept deck" and just plan on the drafts for the other pieces. Unless Dave feels otherwise and wants to keep it for the video asset.

1/26/24: Rob created a draft of the first-time donor postcard. Tina sent that to Rachel on 1/29 for feedback and reminded her we need copy for both pieces.

2/6/24: Rob has created the first round draft of the First time donor postcard for the recent grad. That has been sent to Rachel for feedback. Tina reminded Rachel we still need feedback and copy for the First time donor postcard that was sent on 1/30/24.

2/7/24: Rachel responded that she would share the concepts and copy with Megan and send any feedback to us after Giving Day.

2/21/24: Additional conversations are now happening to make sure these pieces align with the UF Loyal program. A Stewardship meeting on Monday, Feb. 26 should determine direction. Dave is attending that meeting with Megan and Yoon.

2/28/24: Tina pushed back postcard dates to next Friday. Still awaiting feedback and postcard copy from Rachel. Tina has chatted with the video team on next steps to complete that deliverable.

3/13/24: Rachel has responded with tweaks to round one draft. Rob is working on those updates to share.

3/15/24: Rob and Tina met with Rachel and Megan to review the direction on changes to the new donor for both the younger alum and alum pieces. We reviewed the UF Loyal pieces that Jim worked on to see how we can create a throughline between the two pieces.

3/19/24: Tina sent an updated first donor new alum version to Rachel for approval/feedback.

3/20/24: Rachel sent over a couple of revisions on the First Time donor recent grad postcard. Rob made corrections and resent  to Rachel. Rob also made adjustments on the the First Time general donor postcard and Tina has sent those over to Rachel for feedback. Yasmin is working on setting up a meeting with the video team, Bussy and Rachel to discuss the Thankview video deliverable.

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
