Project Description
UF Loyal was established in 2018 to steward and engage UF's most loyal donors and create a culture of giving annually. The program increases donor retention, but we have identified challenges that are limiting its effectiveness and impact. By addressing the data needs, working with Development/AG partners, and refining our communications plan, we will enhance the program to have more leverage to solicit renewal gifts and steward loyal giving behavior. The proposed new framework for the program has been reviewed and approved by Maria Gutierrez Martin. We need to develop some mockups of the collateral for MGM approval of concept.

12/4/23: Jim and Tina met with Rachel and Megan about the project. The Thank you mailer and magnet are a new piece to the program that Maria has approved. We will provide a concept of this new piece by the due date.

The next pieces (email and letter) are to be discussed next. DR will provide sample text that can be enhanced by our team if needed.

12/12/23: Jim and Tina met with Rachel and Megan to share two potential options. DR to provide copy to Jim by the end of Tuesday and Jim will create a new version for Megan to share with Jess/Maria on Thursday.

1/11/24: Jim and I met with Rachel and Megan about the next phase of the UF Donor Loyal project which involves a new member notes card and email and a reacquired member/welcome back note card and email. Rachel shared some past concepts with Jim. She will work on new language for both the card and email. She will also decide whether the email will have a graphic/link to a "see your impact" site. Tina suggested that if she needs more time to build that impact concept out for the website, she could develop a paragraph of copy now and easily switch out the text for a graphic. The Thank you mailer with magnet might have one more line of text that needs to be added. We will know more early next week.
For the future:  the items in this project that will need to be updated on an annual basis are the Mailer and the Reacquired/Welcome Back pieces but these can have the same look and feel. Tina reconfirmed the deadline dates (1/26) and Rachel indicated she might need a little more time due to Giving Day requests. Tina indicated to let her know so things can be adjusted.

1/19/24: Rachel requested to push back the New/Reacquired mailer. Tina bumped the date to 2/1 and 2/09.  She is still interested in the magnet mailer to have ready by the DO meeting on Monday, Jan. 29 to share. She will work on a small update in language early next week.

1/22/24: Rachel has provided the final content for the Magnet Mailer. Jim is adding and will share with Dave prior to Donor Relations. They want to share that piece at the next DO meeting 1/29.

2/12/24: Rachel has provided text for email and note card and Jim is working on drafts.

2/13/24:  Jim worked up drafts for the remaining deliverables. Tina and Jim shared those with Rachel and Megan with additional questions on creating a consistent and seamless flow from the first-time donor project that Rob is working on to this one as the next level of giving. The DR team agreed that more needed to be thought through. The team will circle back up on Monday, Feb. 26 in conjunction with the Stewardship meeting that is already scheduled. Dave will be part of this discussion. Project dates are to be moved back due to additional strategic planning.

2/28/28: Waiting on direction from Rachel and Megan on these deliverables. Jim is on vacation through March 8, so most likely deadlines will need to be pushed back unless we receive additional feedback and Rob can jump.

3/73/24: Rachel provided the following update: Carrying through elements from the FTD pieces sounds good. Work can continue when Jim is back.

3/15/24: Jim and Tina met with Rachel and Megan to review the direction on changes to the New member and Reaquired pieces. We reviewed the New donor postcards that Rob worked on to see how we can create a throughline between the two pieces.

3/19/24: Rachel provided updated copy via email for the UF Loyal Reacquired piece and new cover language. Rachel requested to have the updated drafts ready for a Thursday meeting with Jess.

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
